This policy explains what personal information we collect when you use our website or services, why we collect it, how we use and protect it, and what rights you have over it.

We are committed to handling personal information responsibly, whether or not the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) formally apply to our business at a given point in time.

Depending on which form you submit — a housing brief, a new home enquiry, or a property/host registration — we may collect:

• Household composition (number of adults, children, and infants)
• Pet details
• Preferred move-in and move-out dates, or flexibility around timing
• Budget range
• Property preferences (e.g. parking, accessibility, proximity to work or school)
• Accessibility or disability-related requirements, where voluntarily disclosed
• Preferred language and country/region relocating from, where voluntarily disclosed
• For insurers and adjusters: your employer/firm name and professional role
• For hosts: property listing details, weekly rate, and availability

We only collect what's needed to coordinate a placement or respond to your enquiry. Most fields on our forms are optional, and clearly marked as such.

2. Why we collect it

We use this information to:

• Match housing requests with suitable, vetted hosts and properties
• Communicate with you about your enquiry, brief, or registration
• Coordinate placements, including liaising between guests, hosts, and — where relevant — insurers or adjusters
• Provide additional support services you've requested (e.g. translation, airport pickup, local referrals)
• Improve our services and respond to general enquiries

3. Accessibility and disability-related information

Where you voluntarily disclose accessibility or disability-related requirements (for example, step-free access), we treat this information with particular care. It is used solely to help us match you with a suitable property and is not shared beyond what is necessary for that purpose.

4. Who we share information with

We may share relevant parts of your information with:

• Hosts, so they can assess whether a placement is a good fit (e.g. household size, requirements, timing) — we do not share more than necessary for this purpose
• Insurers or claims adjusters, where you have been referred to us through an insurance claim, or where your placement is being coordinated on their behalf
• Third-party service providers we rely on to operate our website and forms (see Section 5)
• Local referral partners (e.g. translators, real estate contacts, community services), but only where you have specifically opted in to that type of support

We do not sell personal information, and we do not share it with third parties for their own marketing purposes.

5. Third-party services we use

Our website and forms currently rely on:

• Formspree — processes and stores form submissions before we retrieve them
• Netlify — hosts our website
• Google Search Console — helps us understand how our site appears in Google Search

We may adopt additional tools over time (for example, website analytics). If we do, we'll update this policy accordingly. Each of these providers has its own privacy practices governing data that passes through their systems.

6. How we store and protect your information

Personal information submitted through our forms is stored by our form-processing provider (Formspree) and, where applicable, in internal records we maintain to coordinate placements (such as a private tracking spreadsheet). We take reasonable steps to protect this information from misuse, loss, and unauthorised access, including restricting access to those who need it to do their job.

No method of storage or transmission over the internet is completely secure, and we cannot guarantee absolute security.

7. How long we keep your information

We retain personal information for as long as reasonably necessary to fulfil the purposes described in this policy, including any ongoing placement, and for a reasonable period afterward in case of follow-up needs or legal requirements. Information relating to enquiries that do not proceed to a placement is generally retained for up to 24 months before being deleted.
